B+N Refefencia Zrt. is the largest infrastructure management company in Hungary, with more than 13k FTE and operating at the hundreds of locations.
As an infrastructure cleaning service provider they do recruitment and onboarding new colleagues in mass amount, 800 – 1000 people in every month. Administration tasks regarding to the onboarding process and communication with the authorities is requires hundreds of working hours from the payroll team.
Solution
Robot1: Automated datamapping, transformation and synchronization between the HR database and the payroll system is crucial for the daily work. The automation checks 3 times a day the fresh onboarding data, and if it finds a new employee data it starts the payroll process, from sendig the data to the payroll system until submitting the application form to the TAX authority.
Robot2: After onboarding the colleagues, the automation checks the mailbox dedicated to the communication with the authorities, collects and analyzes the messages, label them and assign the relevant tasks to the payroll colleagues.
