Department: HR, Cross-department

A Japanese-owned global enterprise with 130,000 employees worldwide faced major HR process inefficiencies. Each subsidiary operated with a different HR core system, plus separate applications for training, performance evaluation, and organizational management.
These systems were isolated, had no integration, and all data transfers were performed manually—a process that was time-consuming, error-prone, and prevented unified reporting. The lack of reliable, consolidated HR data made strategic workforce management and data-driven HR decision-making nearly impossible at the group level.

Solution

AI-powered RPA automation became the strategic enabler. The robot automatically collects all relevant HR data from the scattered systems (e.g., number of factory employees, job roles, organizational charts, hours worked), consolidates it into a central database, and then redistributes the necessary information back into the various HR applications.

Additionally, it automatically generates and distributes HR reports and ensures continuous synchronization across all systems. This eliminates manual data movement, significantly reduces errors, and provides the enterprise with unified, real-time HR insights across the entire group, finally enabling meaningful, data-driven decision-making in HR.

Processes Automated – Digitalized

  • HR data collection across multiple isolated systems
  • Centralized HR database updates and synchronization
  • Automatic generation and distribution of HR reports
  • Continuous cross-system synchronization
  • Elimination of manual HR data transfers
